Level 03 — Response

If It Is Not in the CRM,
It Did Not Happen

Deals in a small business are rarely lost in a competitive shootout. They are lost because someone meant to ring back on Thursday and then it was Monday, and by then the customer had booked somebody else. It never shows up in any report, because the enquiry was never recorded in the first place. We build the pipeline that makes forgetting structurally difficult: every enquiry captured automatically, every record with an owner and a dated next action, and follow-up that fires whether or not anybody remembers.

What's Included

A Pipeline Built Around
How You Actually Sell

✓

Pipeline Design From Your Real Process

We map what genuinely happens between an enquiry arriving and money landing, then build stages around that. Six or seven stages, each one a verifiable event rather than a feeling, each with a defined exit condition.

✓

Automatic Capture From Every Channel

Website forms, phone calls, chat, social messages and emails all create records without anyone typing anything. Manual entry is where CRMs die, and partial data is worse than none because it looks complete.

✓

Source Attribution End to End

Every record carries where it came from, all the way through to a closed sale. This is what lets you compare the true cost of a customer from search against one from paid social, which almost no small business can currently do.

✓

Automated Follow-Up and Escalation

New enquiry unactioned for fifteen minutes, the owner gets notified. Quote sent with no response after three days, a task appears. Nothing untouched for a month sits in the pipeline making the forecast look better than it is.

✓

Quoting and Proposal Workflow

Templates, e-signature, automatic status changes when a quote is viewed or signed, and follow-up sequences attached to each. The gap between quoting and chasing is where most revenue leaks.

✓

The Four Reports That Matter

Enquiries by source, conversion by stage, time in stage, and response time. Most CRM dashboards offer dozens of charts and almost all of them are decoration.

How We Work

From Scattered Leads to One Pipeline

Realistically about four weeks for a small team, without disrupting how you currently work.

01

Map How You Sell

We sit with whoever handles enquiries and document what really happens, including the informal bits. The pipeline has to match reality, or nobody will keep it up to date and you will have expensive software containing half your leads.

02

Choose and Configure

We recommend a platform based on your size, budget and what else you run, then build the stages, fields, permissions and views. Fields kept to what will genuinely be used, because every optional field is a small tax on adoption.

03

Connect the Sources

Forms, call tracking, chat, social and email all wired in so capture is automatic. We import your existing lead and customer data and clean up the duplicates while we are there.

04

Automate the Chasing

Reminders, escalations, status-triggered emails and task creation built in, so follow-up is a property of the system rather than a property of somebody's memory.

05

Train and Enforce One Rule

A short session with the team, then one agreement: if it is not in the CRM, it did not happen. It sounds harsh and it is the only version that works, because a CRM holding most of your leads gives you numbers that are confidently wrong.

What You Get

What Changes Once
Everything Is in One Place

⏱

Response Times That Win Work

Time from enquiry to first real contact correlates with win rate more strongly than almost anything else you can measure, and it is one of the few numbers you can improve this week.

🔍

You Can See Where Deals Die

Conversion by stage turns a vague sense that sales could be better into a specific problem. If most enquiries reach quote and few reach won, your problem is quoting and follow-up, not lead generation.

📊

Marketing Decisions With Evidence

Enquiries by source, tracked through to revenue, is what makes every other channel decision straightforward. Without it, budget allocation is opinion.

⚖

A Business That Does Not Live in Someone's Head

When the person who knows all the customers is on holiday, or leaves, the pipeline carries on. That is worth more than any individual feature.

FAQ

Questions We Get
About CRM and Pipelines

It depends on team size, budget, and what else you run. For most small businesses there are several perfectly good options at modest cost, and the differences matter far less than whether it is configured properly and actually used. We will recommend based on your situation and we are not tied to any vendor.

Almost always because capture was manual. If logging a lead is a task someone has to remember at the end of a busy day, coverage will be partial. When forms, calls and messages create records automatically, the CRM becomes the easiest place to find out what is happening, and adoption stops being a training problem.

About four weeks for a small team. Week one is process mapping and configuration, week two is connecting sources and importing data, week three is automation and training, week four is reviewing the first reports and fixing the worst stage. It runs alongside your normal work rather than replacing it.

Yes, including from spreadsheets, an old CRM, or a combination of both. We deduplicate, standardise formats, and map fields properly. It is worth doing carefully once rather than importing a mess and living with it.

We can. Some clients want us to build it and hand it over, others want ongoing management: monitoring response times, keeping the automations healthy, running the monthly review and flagging where deals are sticking. Both are fine and we will say which we think fits you.

Usually. Most of the common tools have native integrations or an API. Where a genuinely closed system is involved we will tell you what is and is not possible before you commit rather than discovering it halfway through.

Directly, and that is the point. Source data flows in from your website, ads and calls; outcome data flows back out to the ad platforms so they optimise toward actual customers rather than form fills. That loop is what turns marketing from a cost into something measurable.

That is common and often quicker to fix than starting over. We audit the current setup, rebuild the pipeline around your real process, clean the data, connect the sources properly and add the automation. Keeping your existing history is usually worth more than a fresh start.
